Hello! So you're interested in being a part of the curated line up of traders for the Newquay Christmas Market? That's wonderful! Before you apply please read this so you can find out more about trading with us, the event concept and format, what we're looking for, the stand options & prices and some other need to know info. It's a bit wordy but grab a cuppa and settle in for a 5-10 minute read - you have to accept the info & associated terms before you can apply.

The Newquay Christmas Market Concept:
Join us for some BIG love for shopping small in the vibrant coastal town of Newquay, and online for the Virtual Market.
The Newquay Shop Small Christmas Market is a collaboration by Cornwall Shop Small and Newquay Farmers Market brought to the town by Newquay BID with the support of Visit Newquay and Newquay Town Council. The Christmas Market will feature an array of the most wonderful local creators & curators of Contemporary Craft & Design, Home & Lifestyle Wares, Vintage & Salvage Finds along with Local Food & Drink from the fabulous Newquay Farmers Market. There will be lots to enjoy across the weekend and on Friday we're joining in the festive fun of Newquay's Christmas lights switch on with live music in the town, lantern parade through the streets, fireworks over the harbour and a festive bar, it's not to be missed.

Please note that we will be curating the line up with locality at it's core. While applications will primarily be considered on quality and relevance an application from an applicant based in Newquay and the surrounding area will be given preference over an application from further afield in the county where the application quality is similar.

Applications across all categories mentioned in the concept are welcome but please note at this stage we are NOT accepting applications from streetfood / or on site drink traders.

Applications from food & drink traders for off site consumption are welcome.

The space does mean that we won't be able to welcome everyone who applies along. If we can't offer you a place don't be offended, it's not a reflection on what you do, just more of a case of us not being the best fit for each other. It might be that someone else applying just edged the difference in one of the things that we look for. It's also true that some categories are particularly competitive. Don't let that put you off applying, we would love to hear from you.

For this Market we have one application route whether you have traded with Cornwall Shop Small / Newquay Framers Market previously or not. This is to ensure we have all the relevant information from everyone to give proper consideration to all applications while we jointly curate the line up. Lots of our previous traders return to trade with us event after event and while we look to reward loyalty, particularly at this time of year with traders who have traded with us in Newquay in May and September, we are accepting applications from new-to-the-market traders.

Newquay Market Format:
The Newquay Shop Small Market is a real life event with an added virtual element. The IRL Market will take place in a festoon lit and decorated marquee on Newquay's Killacourt. The virtual element includes an online market showcase hosted on our website and supporting social media content.

Newquay Market Date & Times:
The Christmas Newquay Shop Small Market is taking place from Friday the 1st to Sunday the 3rd of December 2023.
Friday 2pm - 9pm
Saturday 10am - 4pm
Sunday 10am - 2pm
The online market showcase will usually launch on the Wednesday before the IRL market day.

Newquay Stand Options and Prices:
​
Standard Low - this is an area back to back with another trader in the centre of the marquee with a 4.5 m2 footprint, 3 metre frontage and 1.5 metres depth and a maximum display height of 120cm from floor.
Standard High - this is an area backing onto the marquee walls around the edge of the marquee with a 4.5 m2 footprint, metre frontage and 1.5 metres depth and a maximum display height of 220cm from floor.
Corner High - this is an area backing onto the marquee walls at the corner of the marquee with a larger 6 m2 footprint, 3 metre frontage and 1.5 metres depth and a maximum display height of 220cm from floor.

Please note that all stand set ups (and yourself) must be within the confines of your stand space and that you must layout your stand to allow access for you / any stand help from the front.
Joint applications for a stand space are accepted and should be made together on a single application form detailing both business names & details.

We really want to keep our stand prices as accessible as possible and we want to be as transparent as possible about our charges. Our charges are based on a combined charge per m2 and charge per metre frontage.
The cost to supply the Christmas Market infrastructure is part funded by Newquay BID.
We don't want anyone to be put off applying because of concerns about stand fees. Successful applicants will be sent a stand payment request with a deadline and your stand is only confirmed on receipt of your stand payment. However, if you receive a stand offer and have concerns about paying your stand fee you can get in touch with us and we will help you work out a payment plan.

Newquay Application Process:
Applications will open and close on set dates for specific events.
All of our events have an application process as sometimes we have over 5 times the number of applications to trader spaces, this means we can't welcome every trader along.
We look to contact all applicants within 1 week of application closing to let them know the status of their application.
Successful applicants will be emailed a stand offer and given 1 week from stand offer to confirm their stand. To confirm a stand you will need to make payment for your stand, agree to the full trader terms, fill out a short online form to make sure we have all your up to date information and supply any relevant images.

Newquay Set Up:
Full set up info will be supplied to successful traders. For the IRL Market set up will be possible on the morning of the first Market day from 10am. Please note that you must arrive by midday for stand set up ready for trading by 2pm. Vehicle unload might be timed.

Key Trader Terms:

All traders will be required to have Public Liability insurance covering their trading activity and anyone working on their stand or set up. The minimum level of this for 2023 is £1 million for all traders, £2 million for traders of consumables and £5 million for traders who cook or heat food on their stand (not relevant for this event). It's recommended that you complete your own risk assessment to help you identify any issues. By agreeing to the trader terms you are confirming that you have the relevant Public Liability. A copy of your PL might be requested at any point during set up or trading so please make sure you have a paper or digital copy accessible.

All traders are responsible for their own Product Liability and should have Product Liability insurance, where necessary, in place.

All traders must comply with all city & county council requirements and national legislation regarding trading standards, health & safety and the labelling of any products where relevant.

You can find some basic gov guidance on labelling for certain products HERE. It is the traders responsibility to label their products correctly where required.

All electrical equipment must be less than one year old from purchase with proof of purchase date OR have been PAT tested with certification within 1 year.

Traders of streetfood & drink for on site consumption must provide their own spill kit (not relevant for this event).

Traders using gas for heating / cooking food must have any equipment covered by a current gas safety certificate and perform their own manual inspection before use (not relevant for this event).

Any food or drink traders will need to make sure they have the relevant Food, Health and Hygiene Certs in place to satisfy their trading requirements as set out by the Council. Traders of all food products need Health & Hygiene level 2 certificate, to be within 3 years.

Traders of food and drink products for on site consumption need to be registered with Cornwall Council Environmental Health Dept. and follow their guidance (not relevant for this event).

Traders of alcohol or alcohol based products must have their own personal license and need to apply for a Temporary Events Notification License for the real life Market day(s). Applications can be made at: https://www.cornwall.gov.uk/advice-and-benefits/licences-and-street-trading/alcohol-and-entertainment-licence/ . The license will need to be on display at all times during the market and you won’t be able to sell alcohol without it. The person whose name it is in will hold accountability for all alcohol sales i.e. ensuring the person is of age and asking for ID if unsure.
Trader Cancellation:
If you have confirmed for your stand but can no longer attend the event please let us know asap.

If cancellation occurs before payment deadline nothing is payable.

If cancellation occurs after the payment deadline and it is at least 1 week before the IRL event and you have paid for your stand we will do our best to roll your stand payment onto a future mutually agreeable event (as available), there will be a £10 admin fee for this taken from your stand payment credit.

If cancellation occurs after the payment deadline and it is at least 1 week before the IRL event and you haven't paid for your stand you will be asked to pay a £10 admin fee that will be payable at the time of cancellation and future stand bookings won't be accepted until payment is made.

If cancellation occurs within 1 week of the IRL event payment you may be liable for full stand payment however circumstances will be considered.

If there is a trader 'no show' you are liable for your full stand payment however circumstances will be considered.

Newquay Market Cancellation:
The Newquay Christmas Market takes place in a pre erected marquee signed off to up to 50 mph winds. However if winds over 35mph (not including gusts) are forecast (Met Office XC Weather) cancellation of the IRL Market will be considered. A decision will be made with Newquay Farmers Market, Newquay BID and Newquay Council. Traders will be informed of any weather related cancellations as early as possible (bearing in mind the changeability of the local forecast) and by 5.30pm the day before the Market at the latest. In the unlikely event that a Market has to be cancelled for any other reason beyond our control traders will be informed as soon as possible. Cancellation information will be shared with relevant traders via email in the first instance.
In the event of a Market cancellation all traders will be offered a stand at a future mutually agreeable event. The online element of the Market will still take place and a portion of the stand payment of £10 will still be relevant so the remaining balance (stand fee - £10) will be moved to as a credit to a future Market booking.
